Private Multi-day Guided
Tours and Related Travel Services Effective for contracts concluded on or after 5 January 2026
1. Parties and Scope
These General Terms and Conditions ("Terms") govern the relationship between Czechia Tours Prague s.r.o. (the "Provider") and the customer (the "Customer") in connection with the provision of private, multi-day guided tours and related travel services (the "Services"), unless agreed otherwise in writing.
The Provider currently offers only private tours and multi-day tours. Day trips and shared group departures are not offered unless explicitly stated in a written quotation.

3. Definitions
For the purposes of these Terms:
- "Customer" means a natural or legal person who enters into a contract with the Provider for the Services.
- "Tour" means a private, multi-day guided program confirmed by the Provider, typically including guiding and inherently related transport services, and any other services expressly listed in the itinerary/quotation.
- "Quotation" means the Provider’s written offer sent by e-mail (or other written channel) and accepted by the Customer.
- "Tour start date" means the first day of the Tour as stated in the booking confirmation/itinerary.
4. Formation of the Contract
A contract for the Services (the "Contract") is concluded:
- for bookings made via the Provider’s website, upon completion of the online reservation process and the Provider’s confirmation sent to the Customer’s e-mail address; or
- for tailored requests, upon the Customer’s clear written acceptance of the Quotation issued by the Provider (e.g., by reply e-mail).
5. Price and Payment Methods
The total price, inclusions and exclusions are stated in the booking confirmation and/or the Quotation. Prices shown during the online reservation process are final for the selected configuration and include VAT (if applicable).
For international wire transfers, the price is considered paid only after the full amount is credited to the Provider’s bank account. The Customer must arrange the transfer so that bank fees do not reduce the amount received.
Upon request, the Provider may indicate the amount due in a currency selected by the Customer. Currency display does not affect the due amounts unless explicitly agreed in writing
6. Key Service Conditions
Unless agreed otherwise in writing, the following applies:
- Hotel pick-up in Prague: Pick-up at the reception/concierge of most 3-star to 5-star hotels in Prague is provided free of charge.
- Meeting time and place: The agreed time and place must be respected. Missed pick-up due to the Customer’s failure to be ready at the agreed time does not create grounds for any refund.
- Pick-up times: Pick-up times may vary depending on traffic and the hotel’s location. Reasonable delays do not create grounds for any refund.
- Drop-off: Return to the hotel in Prague is provided where applicable. Any special drop-off requests must be communicated before the Tour starts.
- Language: Tours are guaranteed in English unless agreed otherwise in writing.
7. Payment Schedule and Cancellation Policy
7.1 Deposit and Balance
- A deposit of 20% of the total Tour price is required to secure dates and arrangements.
- The remaining 80% balance is due 45 days prior to the Tour start date (the first day of the Tour).
- If the balance is not received by the due date, the Provider may treat the booking as cancelled by the Customer and apply the cancellation terms in Section 7.2.
7.2 Cancellation by the Customer
Cancellations must be submitted in writing (e-mail is sufficient). The cancellation date is the date the Provider receives the written cancellation. Tailored bids and multi-days tours Service, following cancellation terms applies:
- 60 and more days before trip start date – 100% refund of the deposit minus any non-refundable card payment processing fee (see Section 7.3).
- 59-45 days before trip start date – 50% refund of the deposit
- 45-14 days before trip start date – 25% refund of the price
- Cancellation received 14 days or less before the Tour start date: no refund (100% of the total price is charged/retained).
7.3 Non-refundable Card Payment Processing Fee
Where the Customer pays by credit/debit card (or via an online payment gateway), any payment processing fee charged by the payment provider is non-refundable and will not be returned in any refund scenario, as it is a third-party cost already incurred.
7.4 No-show / Non-participation
If the Customer does not cancel but fails to commence or participate in the Tour as agreed (including a noshow), the situation is treated as a cancellation at the time of the Tour start date and no refund is provided.
8. Changes to the Program and Cancellation by the Provider
The Provider may make reasonable changes to the Tour program due to circumstances beyond its control, including changes in opening hours of visited sites, traffic restrictions, safety considerations, or force majeure.
If the Provider must cancel the Tour (in particular due to force majeure or circumstances preventing delivery of the Services), the Provider will inform the Customer without undue delay and refund amounts paid within 14 days, subject always to Section 7.3 (non-refundable card processing fees), if applicable.
Please note: special conditions may apply during public holidays or for specific suppliers/services; where relevant, such conditions will be communicated in advance in the Quotation or booking confirmation.
9. Assignment of Rights and Obligations
The Provider may assign its rights and obligations arising from the Contract to a third party, provided that the scope and quality of the Services are maintained.
10. Customer Obligations and Safety
- The Customer must follow the guide’s instructions and must not separate from the group during the Tour.
- Separation from the group or voluntary discontinuation of participation does not create grounds for any refund.
- The Customer is responsible for personal belongings. The Provider is not liable for items forgotten or lost in vehicles or visited venues
11. Complaints Procedure
If the Customer believes the Services were defective, the Customer should submit a complaint without undue delay, ideally immediately after the Service is provided.
The Provider will confirm receipt of the complaint and will decide on the complaint without undue delay, no later than 30 days, and will communicate the decision to the Customer by e-mail.
12. Personal Data Protection
The Customer acknowledges that the Provider processes personal data necessary to perform the Contract and as required by applicable law. This may include: first name, surname, date of birth, passport details (where required for specific services), bank details, address, e-mail, phone number, flight details (flight number, PNR), and, where relevant, information about allergies, medications, or health limitations.
The Provider may process the Customer’s contact details to distribute business information. The Customer may object to receiving such communications at any time by sending an e-mail to info@czechia-tours.cz.
These provisions apply accordingly to persons on whose behalf the Customer enters into the Contract (fellow travelers). The Customer declares that they are authorized to provide necessary information and consents as required.
13. Final Provisions
Matters not expressly stipulated herein are governed by Czech law, in particular Act No. 89/2012 Coll., as amended.
Czech courts shall have jurisdiction for dispute resolution.
If any provision of these Terms is held invalid or unenforceable, the remaining provisions shall remain in full force and effect.
